The Export Data menu option allows the user to extract and download data from the database. Users can choose from the download types ‘Table’, ‘Layout’, and ‘Scheme’, the option selected then defines the other selections available.
Data can be downloaded in the following formats:
- Microsoft Access
- Microsoft Excel
- Comma Separated Values (CSV)
- Micromine
- Fixed Width text
Note that not all of these options are available for all download selections. Some formats may be incompatible with or inappropriate for the selected item or items to be downloaded. Only formats supported for the current download selection will be shown in the ‘File Format’ selector.
A **Settings** option is available, that will allow downloading quoted and non-quoted files for a comma-delimited format.

Table Option:
If the ‘**Table’** download option is selected, the user can then select the desired file format for the download, and then select the table (or view) from which data will be extracted. When the ‘Download’ button is pressed the content of that table or view will then be downloaded to the user’s computer. The ‘Download’ button is hidden until a valid option has been selected in all of the required fields. On option for ‘All Columns’ will display for Download Type Table. When unselected the data downloaded will contain the columns selected and the columns order by the user in the Display option for the grid. When selected all columns for the table will download.

Layouts:
The ‘**Layout’** download option presents the same file format options as the ‘Table’ selection, with the addition of a Micromine and fixed Width file format. The user selects the data source as before, which is a table or view in the database. DataShed5 then shows a list of the layouts available for the selected data source. Creating a layout will be covered in the following section.
If Validate option is selected, application will validate the selected layout and if there is no error or warning you can see Validate status as “**Validation Pass**” or else **Details**. Details link to display details of the error or warnings. And file will be downloaded.
If you don’t select Validate option status will show “No Validation Checked”.
Once a layout is selected for the source, the ‘download’ button is available to begin the extract/download of the data.

Creating a layout:

When creating a new layout, first you need to select layout type, File format and Data Source. Once these are selected a ‘New..’ options is presented under the ‘Layout/Scheme’ drop down.
When the user clicks “**New…**”, it displays the popup window to enter a layout name to be created for selected table. If no name is entered, a warning will appear as per below screen shot.
If there is no validation error, the system creates a new layout, and then opens the Export Layout Editor in the pop-up. The Export Layout Editor fields table is empty for the newly created layout.
The system allows the user to add fields individually by clicking + icon on the left corner. When adding a new field, the user can select the field from a dropdown list, and some values such as Name, Data Type, Width, Seq No will be populated by default. The has the ability to change these values.
Once the field records are added, click the “Save” button to save the layout to the database. Please Note: clicking the “Close” button before “Save”, will lose the data added or changes made to the layout.
By clicking the “Select All” button, the system adds all fields from the selected table to the layout. Once again, click “Save” to save selected records to the database.
**Please Note:** clicking the “Close” button before “Save”, will lose the data added or changes made to the layout.
By clicking the “Select None” button, the system removes all selected fields for the layout. Once again, click “Save” to save your changes to the database.
**Please Note:** clicking the “Close” button before “Save” will lose the data added or changes made to the layout.
To Remove individual fields or multiple fields use the “Delete” bin icon.
The “Delete” bin icon button is disabled when no row is selected. The button will be enabled when the user selects one or more rows.
The user can select one or more rows (by clicking the checkbox) and then click “Delete” bin icon button.
Once again, click “Save” to save your changes to the database.
**Please Note:** clicking the “Close” button before “Save” will lose the data added or changes made to the layout.
Once the user saves the layout successfully a green successful message will appear as per below. You are now able to close the Export Layout Editor without losing any of the changes you have made.

Copying a layout:
When copying a layout, first you need to select layout type, File format, Data Source and layout. Once these are selected a ‘Action’ drop down appears with options to Copy, Modify, Rename or Delete. Select the ‘Copy’ Action.
A popup will be displayed to enter a name for copied layout.
Once the copied layout has been saved the Export Layout Editor will be displayed with the same functionality as creating a layout detail above. The user can customise the layout as required before saving and closing the Export Layout Editor.

Renaming a layout:
When renaming a layout, first you need to select layout type, File format, Data Source and layout. Once these are selected a ‘Action’ drop down appears with options to Copy, Modify, Rename or Delete. Select the ‘Rename’ Action.
A popup will be displayed to enter a name for the layout. Once the layout name has been saved, a green successful message is displayed.

Deleting a layout:
When deleting a layout, first you need to select layout type, File format, Data Source and layout. Once these are selected a ‘Action’ drop down appears with options to Copy, Modify, Rename or Delete. Select the ‘Delete’ Action.
Upon selecting the “Delete” option from the action list, the confirm dialog window will be displayed to ask the user for confirmation.
If the user selects “Yes”, the system deletes the selected layout (**RenameTestDHCollar** – as per the above screenshot) and clears it from the Layout/Scheme dropdown. A successful deletion message will be displayed after the process.
if the user clicks “No”, the system will close the confirm dialog and go back to the main screen.

Schemes:
The ‘**Scheme’** download option shows a list of pre-defined download schemes that are available. Schemes are created in DataShed, and typically consist of a collection of Layouts for various tables. Schemes can be selected for extraction in either Access or Excel format.
If the “**Validate”** option is selected, application will validate the selected scheme and if there is no error or warning you can see Validate status as “**Validation Pass**” or else **Details**. Details link to display details of the error or warnings. And file will be downloaded.
If you don’t select Validate option status will show “No Validation Checked”.

Creating a Scheme:
When creating a new Scheme, first you need to select Scheme Download Type and selecte the ‘New..’ option under the ‘Layout/Scheme’ drop down.
When the user clicks “**New…**”, it displays the popup window to enter a Scheme name. If no name is entered, a warning will appear as per below screen shot.
If there is no validation error, the system creates a new Scheme, and then opens the Export Scheme Editor in the pop-up. The Export Scheme Editor fields table is empty for the newly created Scheme.
Users can conveniently select an Export Type and add layouts individually by clicking on the '+' icon located in the left corner. When incorporating a new layout, users have the flexibility to choose from a dropdown list of existing layouts and modify values of the Seq No and Destination Table name. The Seq number is the order by which the Layouts are exported in and the Destination Table Name is the name of the tab or table which will be exported.
Once the field records are added, click the “Save” button to save the Scheme to the database. Please Note: clicking the “Close” button before “Save”, will lose the data added or changes made to the Scheme.
By clicking the “Edit” button next to the layout name, the system takes you to the Export Layout Editor which will allow you to edit the Layout while building your scheme. Please refer to the Layout Editor Guide above to learn how to edit this section. Click “Save” to save selected records to the Layout and click ‘Close’ to return to the Export Scheme Editor.

Sharing a Layout or Scheme:
If you would like to share a Layout or Scheme with other users, you can check the ‘Share Scheme or Layout’ option when creating your Scheme or Layout. As per the below screen grab.
Once The Scheme or Layout has been edited as successfully saved the Scheme or Layout will have a # Infront of their name to display that they are a shared Scheme or Layout.

Downloading a Scheme, Layout or Table:
After a Scheme, Layout or table has been selected, the ‘Download’ link becomes available to begin the download.
On selecting Download, a download table will display as above showing the status of the download. Once the download is complete, the Status will display ‘Downloaded’ when successful or Error when an error occurs. If an error occurs, the user will be able to select the Error link to display details of the error.
Downloads can be queued allowing for multiple downloads to be selected. Each download will be displayed in the table that has been requested and a status will display. A ‘Cancel’ option will be available for the download that is currently in progress. Selecting the cancel option will cancel the current download and progress to the next download if one has been queued. Selecting the ‘Remove’ button will remove the download from the display list.
**Validation Check Rules:**
- Check export layout data source exists in MDS.
- Check exported fields are mapped to the correct datatype.
- Check export layout fields exist in MDS data source.
- Check export fields configured with a SQL output type, checks for valid SQL.
- Check predefined export fields have correct format.
- When downloading a scheme, check if the user has access privileges to each layout in the scheme. A warning will display if the user has no access privileges to a layout in a scheme and will not download data.
There is “Copy Validation to Notepad” option, by clicking this button all the validation check results will be copied to notepad on client side.
When downloading a date field for a layout or scheme the format of an export layout date field configuration, where Data Type = C-Character, will export a date format consistent with the current browser language settings and Data Type =D- Date, will export a date with format dd-MMM-yyyy HH:mm:ss.
Regardless of which download format is selected, only data that belongs in the currently active DataSet Selection AND also conforms to any active Cascade Filters will be extracted.
