[00:00:00] Welcome to this DataShed5 Administration training presentation.
DataShed5 is a browser based application designed to help users view, manage, and visualise data stored within the maxgeo Data Schema. Its interface is intuitive and requires minimal instruction to perform basic activities.

In this training, we will guide you through the key features of DataShed5 Administration, including user management, [00:00:30] roles, memberships, databases, and licensing.
To begin, you will connect to a URL typically in the format datashed5admin.companyname.com.

When accessing this link, you’ll be greeted by the DataShed5 Administration login screen.
If you forget your password, you can use the ‘Forgot your password?’ link to reset it. Your DataShed5 Administrator can also reset your password if needed.
Once you log in, you’ll arrive at the User List [00:01:00] screen.
In the top right corner of the page is the Hello User menu. Here you can change your password, view system details such as the DataShed5 Admin version, the database server IP address, and the active database connection. From this menu you can also log off — and remember, closing your browser tab will also end your session.

User Management
The User List displays all DataShed5 users, showing email addresses, [00:01:30] usernames, locked out status, and any failed login attempts.
From the Action menu on each user row, you can access their details, edit user settings, reset passwords, [00:02:00] create database memberships,
   or delete a user.
To create a new user, click Plus User.
Enter the user’s details and click Save.
You’ll then be taken to the User Details page.
[00:02:30] Here, click Plus User Role to assign roles.
Select the roles required for that user and save your changes.
Next, click Plus Membership to add the user to a database.
Choose the database, tick the Approved checkbox, and select Save.
This opens the Membership Detail page.
From here, choose Edit User’s [00:03:00] Projects, select the projects the user needs, and confirm with Save.
Under the Modules tab, click Edit User’s Groups and choose the correct user group.
User groups determine which modules, dashboards, datasets, and reports are visible to the user.

Database Application Licenses
To assign a system role license, go to the Databases section and open the Licenses page.
[00:03:30] Select the licence role, click the profile icon, then choose Plus User.
Select the user and click Save to assign them to the licence role.
If you add a user to the mxAPI role, the system will generate their unique API key.
[00:04:00] Click Copy to Clipboard and Close, and store this key safely in a text file for later use.

User Roles Overview
User roles are predefined in DataShedAdmin and determine what actions users can perform.
By default, all new users are granted read only access.
Key roles include:
•	Administrator – allows a [00:04:30] user to log in to DataShedAdmin
•	WSA Email Notification – receives email alerts for new registrations and system errors
•	WSService – provides access to the MXSync tool
•	Superuser – grants access to Reports, Dashboards, Applications and Roles sections
•	mxAPI – provides access to the mxAPI for the QGIS plugin, dsConnect and Historical Assay Loader v2

Memberships & Security Levels
Memberships determine which database a user can access [00:05:00] and what they can see within it.
Administrators can configure datasets, modules, dashboards, reports, and security settings.
Security levels include:
•	User – view, download and analyse data
•	User Plus – includes editing and assay batch processing
•	SysAdmin – full administrative access including approving, deleting, and maintaining assay data

[00:05:30] Database Management
The Databases section lists all databases configured in the system.
Each database includes licence details, SQL Server information, and a display name.
Administrators can manage the following.

Projects
Administrators can add, remove or deactivate projects and datasets.
Inactive projects still appear in DataSet Manager but are shown in italics.

[00:06:00] User Groups
User Groups define what reports, dashboards, datasets and modules are visible to users within that group.
These groups can be fully customised.

Modules
A module is a grouping of registered tables and views.
DataShed5 comes with default modules, but Administrators can create or adjust them to match organisational [00:06:30] needs.

Tables
SQL tables or views must be registered before they can appear in DataShed5.
Registration includes naming, classifying, and linking the table to a module.

Map
The map section sets the background map displayed [00:07:00] in DataShed5, typically including satellite imagery and tenement outlines.
 Map Layers
These are the tenement outlines layered on the default map and overlay raster backgrounds.

Map Views
Map Views overlay database data visually using filters and colour ranges.
DataShed5 includes DRILL, POINT SAMPLE, and [00:07:30] XRF based default map views which can be expanded or customised.

Report Groups
DataShed5 includes a collection of built in reports.
Report Groups allow administrators to organise these reports and assign them to User Groups.
New reports or modifications can be requested from maxgeo.

[00:08:00] Dashboard Groups
Similarly, dashboards can be grouped and allocated to User Groups.
Dashboards can also be customised or expanded according to organisational requirements.

Download Subscription
Administrators can schedule automated data exports and email them to specified recipients or directories.
Exports can be created in CSV, Excel, or Access formats.

[00:08:30] Subscription Monitor
This page displays all active subscriptions and their current status.

Memberships in Database Management
This Memberships section allows administrators to manage database access for users at the database level.
Memberships can be copied from one user to another to speed up onboarding.
If not copied, administrators must configure:
•	Datasets
•	Modules
•	Dashboards
•	Reports
•	[00:09:00] Security Level

Licence
To activate a database within DataShed5, the installation must be licensed with maxgeo.
Administrators send the DB ID and Machine ID or URL, and apply the returned encrypted licence file through the Upgrade Licence function.

Delete
This removes a database connection from the [00:09:30] system.

Companies
When multiple companies use the same DataShed5 installation, each company must be defined within the system.
This ensures proper identification, licensing, and data segregation for each organisation.

Outage
[00:10:00] DataShed5 is designed for 24/7 availability, but maintenance windows are sometimes required.
The Outage section allows Administrators to schedule outages, ensuring:
•	The system can be safely taken offline
•	Users receive visible warnings when logging in
•	Outage information appears in the Hello User > About section

Online Users
The Online Users [00:10:30] section displays a list of users currently logged into DataShed5.
Administrators can:
•	Monitor active sessions
•	Confirm who is using the system during maintenance
•	Support troubleshooting or security review activities
