This user guide is essential for anyone involved in government reporting using DataShed5, as it provides step-by-step instructions for navigating the Government Reporting Extension effectively. It outlines how to create and manage data tables, header fields, and tenement groups, enabling users to generate accurate reports tailored to their needs. By following this guide, users can enhance their reporting efficiency and ensure compliance with government requirements, making it a valuable resource for both SysAdmins and general users.

## Components of this Extension

The Government Reporting Extension includes up to four tabs, depending on your User Role.

> ℹ️ **Note:** Only Users with the **SysAdmin** database role can access all four tabs. All other Users will only see the **Produce Report** tab.

1. **Data Tables** – Define and modify the data tables used for reporting.
2. **Header Fields** – View the predefined header fields available for inclusion in data tables.
3. **Header Allocation** – Select which header fields to associate with specific data tables.
4. **Produce Report** – Generate report files. This tab is accessible to all user roles.

### Data Table tab

Selecting a **Data Table** will display the fields currently defined within it.  
Each **Data File** may contain different fields, depending on its structure.

You can add or remove fields as needed.  
The list of available fields is determined by the underlying table that the Data File is based on.

### Creating a new Data File

To create a new Data File, click the **➕ (plus)** button as shown.

1. Enter a **Data File Name**.
2. Select the **Australian State** associated with the Data File.
3. Choose the **Data File Type**.
4. Enter a **File Suffix**.
5. Select the **Table Type**.
6. Choose the **Database Table** that the fields and data will be sourced from.

Click **Save** to save the Data File definition. The new file will then appear in the **Data Files** list.

> ℹ️ **Note:** The Table Name drop down will be determined by the selection in the Table Type drop down. If Downhole is selected, the Table Name drop down will be all down hole tables except the assay tables.

> ℹ️ If Downhole Assay is selected, only downhole assay tables will be listed as below:

When a **Table Type** of Assay (Downhole Assay, Point Assay, Linear Assay or Face Assay) is selected, you will need to select a **Sample Type Name** table  
and then an **Assay Type**, before clicking **Save**.  
And the new file is added to the **Data Files** list.

**Modifying the Data File Definition**

- To **remove fields**, tick the checkbox next to the field name, then click **Delete Selected Records**.
- To **add fields**, click the **➕ (plus)** button and select the desired field from the list.
- Click **Add All Columns** to include all available fields in the Data File definition.

Once you’re satisfied with the setup, click **Save**. A confirmation message will confirm the changes have been saved.

An **Optional Unit of Measurement** field is available.  
Click **Add All Columns** to add all fields into the **Data File** definition.  
When you are happy with the **Data File** definition, click the **Save** button.  
A confirmation message will be displayed.

### Deleting a Data File definition

- Select the checkbox next to the **Data File** you wish to delete.
- Click **Delete Selected Data Files**.
- A confirmation message, **"Selected data files have been deleted successfully,"** will be displayed.

### Header Fields tab

- Click the **"Header Fields"** tab to view the list of Header Fields.
- Default values can be assigned to Header Codes.
- Click **"Discard Changes"** to reset any changes and revert to the default values.
- Click **"Save"** to save your changes.

### Header Allocation tab

- Click the **"Header Allocation"** tab to open the Header Allocation page.
- Select a **Data File** to view the fields that have been allocated to it.
- Default values can be set for the allocated fields.
- When you click out of a record, the changes will be saved automatically, and a confirmation message will appear: **"Assigned value has been saved successfully."**

### Produce Report tab

**To generate a Government Report:**

- Click the **"Produce Report"** tab to open the report generation page.
- Select the **Report Type**.
- Choose a **Date Range** option.
- Select a **Start Date** and an **End Date**.
- Choose a **CRS** (Coordinate Reference System) for the report.

**Creating a Tenement Group**

Creating **Tenement Groups** allows Tenements and Projects to be included in the same report.

1. Click the **+** icon to open the **Edit Tenement Group** pane.
2. Enter a **Group Name**.
3. Enter search criteria to filter the tenement list. For example, entering "E" will filter the list to show only EL tenements.
4. Click the **Select All** checkbox to select all tenements matching the search criteria, or manually select the desired tenements for this group.
5. Click **Save** to create and save the Tenement Group.
6. The new Tenement Group will be added to the **Tenement Group List**.
7. Select the Tenement Group from the list and verify that only the desired tenements are checked.
8. Individual tenements can be added or removed by clicking or unclicking their respective checkboxes.

**Generating the Report**

1. Click **"Generate Files"** to display the available Data Files for inclusion in the report.
2. Uncheck any Data Files you wish to exclude from the report.
3. Once you’ve selected the Data Files, click **"Produce Report"** to generate the report.
4. The report will be saved in your **Downloads** folder as a ZIP file.

### Deleting Tenement Groups

- Click the **trash bin icon** next to the Tenement Group you wish to delete.
- Click **"Yes"** to confirm the deletion of the group.
- The Tenement Group will be deleted.
