- Web-based interface replaces desktop extensions for improved accessibility and user experience.

- Enhanced integration with Power BI for visual reporting (e.g., Audit Reports, Drill Plod, QAQC).

- Streamlined workflows across modules such as Contracts, Sample Dispatch, and Desurvey.

- Role-based access control and centralized data management for improved security.


Feature Comparisons:

- Most legacy extensions are retained or reimagined in DataShed5 (e.g., Intercept Calculator, Government Reporting).

- Some extensions (e.g., Production Extensions, Las File Loader) are not yet available in DataShed5.

- New features under development include automated pXRF file loading and intercept package creation.


Transition Notes:

- Users familiar with DataShed4 will find similar workflows and functionality in DataShed5.

This document summarises the main workflow differences, and similarities, between DataShed4 and DataShed5, and is intended to be a quick reference for where to find the same functionality in DataShed5 that long time DataShed4 users will be familiar with.

Connecting

**DataShed4** requires an ODBC connection to be configured on the user's machine, typically by IT personnel with administrative privileges. This connection enables the application to access the appropriate database.

The correct data source must be selected to launch DataShed4.

While the connection process can be lengthy, it is generally faster on modern machines.

**DataShed5** uses a URL-based connection. Users receive the database URL via email upon being added to a new database. It is recommended to bookmark this URL for easy access. Opening the URL directs users to the login screen.

Modern browsers such as Chrome and Edge can remember login credentials, depending on browser settings. Note that domain password changes may interfere with this functionality. For enhanced security, users are prompted once daily to enter a verification code.

DataShed4 Datasets

In **DataShed4**, users must manually select datasets upon launching the application. The Dataset Manager displays available datasets, and users activate the ones they need by ticking checkboxes and clicking the "Activate" button.

In **DataShed5**, the application automatically restores the dataset collection that was active during the previous session, allowing users to resume work seamlessly. Non-current datasets are italicized, and only administrators can modify their status. Tick the Datasets that you need to work with and click on the activate button. This is the same choice as in DS4 above. 

Saved datasets are at the top but work a bit differently. To Save a dataset selection make the choice, give the selection a name and save it.

Users can save dataset selections by naming and saving them. Saved selections appear at the top of the list. Each user can view their own saved and shared selections. Shared selections are prefixed with a # and can only be edited or deleted by their creator. To load a saved selection, use the edit icon.

Modules

Modules function similarly in both **DataShed4** and **DataShed5**, with some notable differences in usability and interface design.

In **DataShed4**, modules can be set to expand or collapse by default. Users can also create shortcuts to frequently used tables, allowing multiple tables to be open simultaneously. This feature is not currently supported in DataShed5. While multi-tab browsing is under development, users can create a module containing commonly used tables as a workaround.

In **DataShed5**, all modules are collapsed by default. Module visibility is managed through the SysAdmin interface, where modules are assigned to user groups via checkboxes. Modules can belong to multiple user groups if needed. Although shortcut functionality is not available, the interface provides a streamlined approach to module management.

The process of adding tables is largely consistent between **DataShed4** and **DataShed5**.

In **DataShed4**, the "Add Table" form allows users to search for table names with slightly more ease. Once a table is selected, it must be registered and added to a module.

Filtering functionality in **DataShed5** closely mirrors that of **DataShed4**, with several usability enhancements.

In **DataShed4**, filters are created using a dedicated form. In **DataShed5**, the filter designer is integrated into the main form, eliminating the need for a separate save button. Cascade filtering—previously available but less prominent—is now a core feature in DataShed5, highlighted as the second menu item.

Additionally, DataShed5 places the option to share filters prominently within the main interface, streamlining collaboration. In contrast, DataShed4 required navigating through sub-forms to access sharing options.

Maps

Mapping functionality has significantly improved in **DataShed5** compared to **DataShed4**.

In **DataShed4**, mapping was limited and primarily accessed through the deprecated Spatial Search menu, which was rarely used.

In contrast, **DataShed5** integrates maps as a core feature. Any table containing coordinate data includes latitude and longitude fields, enabling spatial visualization across datasets.

Legends are configured via the administration interface, allowing users to toggle map layers on or off using simple checkboxes.

Import Data

The data import process in **DataShed5** retains the core functionality of **DataShed4**, with several enhancements and interface changes.

In **DataShed4**, users could configure the number of errors allowed before the import process stops. This option is not available in DataShed5. Instead, DataShed5 introduces a **date format dropdown**, which helps manage inconsistencies caused by varying date settings across browsers, operating systems, and Microsoft 365 applications.

Mapping and layout saving are accessed via the **Append to Database** tab in both versions. After data is loaded in DataShed5, users can view the **append buffer** and **merge buffer**, which display valid records (in blue) and errors (in red). If mergeable data is detected, a counter appears in the merge buffer tab. Currently, buffer tables can be edited one cell at a time, though a search-and-replace feature is under development to match DataShed4 capabilities.

Import layout modification is similar in both versions. However, **DataShed5 supports only SQL Server syntax**. Layouts using Access expressions must be updated accordingly. The user guide provides detailed instructions on the new syntax.

The **Assay File Format Editor** in DataShed5 mirrors the functionality of DataShed4 but with a revised workflow. Mapping is saved automatically when a new data item is selected. To ensure changes are saved, users should reselect a previously mapped item after adding a unit code. Substitution and validation features are also included.

Export Data

Exporting data in **DataShed5** follows the same general principles as in **DataShed4**, with some format and workflow changes.

**DataShed5** no longer supports dBase III exports. Formats such as Fixed Width and Micromine may cause issues and are best avoided. Recommended export types include **Excel, CSV, and Access**, with **CSV** being the most reliable due to minimal version dependencies.

Exported files are saved to the browser’s default download folder. When exporting multiple files (e.g., CSVs), they are bundled into a single .zip archive.

Layouts and schemes must be **shared** to be accessible by all users. If a scheme includes unshared layouts, only the shared ones will be exported. Users with appropriate permissions can copy and edit layouts and schemes.

When adding layouts to a new scheme, note that layouts can be edited directly from the form. Ensure all components are properly shared to avoid export failures.

- **Account management tools** (e.g., edit details, reset password, delete user)
- **Membership and role assignment** upon user creation

Interface has more of the typical workflow tasks exposed. New to browser interface are Last Activity, Password changed, locked out, Failed Access count and Failed access. As well as icon driven.

Details, edit, reset password, create membership and delete. These are mostly cloud functionality or well-hidden in config manager. Adding a user in DataShed5 Administration adds the new user then opens a form for adding User Roles and assigning membership.

User roles are a **new feature in DataShed5**, with no direct equivalent in DataShed4. Roles define a user's permissions and access to specific application features.

Examples include:

- **Administrator**: Required to access the administration interface
  - **Roles** are defined on the DataShed5 administration database.
- **LGL_User**: Grants user level access to the LogChief Lite application for example

Roles are managed centrally and can be assigned during user setup or modified later. They define the core abilities of a user to perform specific actions in the application.

The licensing model has changed significantly:

- **DataShed4** used CopyMinder licensing.
- **DataShed5** uses a **role-based licensing model**.

All new users are assigned the default **User** role (read-only). Additional roles require purchased licences. The **Sysadmin** role grants full access to all administrative functions, while **Superuser** is reserved for on-premises installations.
