<u>**Problem:**</u>

(1) "Rename" button in Lease/Agreement record is not selectable.

(2) The password doesn't work or I don't know what it is.

(3) LeaseControl returns an error: "This lease ID already is in use" or "This Agreement ID already is in use"

<u>**Cause:**</u>

(1) User either: **(a)** does not have "Edit Mode" turned on or **(b)** is using a Browser Licence or **(c)** is using a database provided via the LeaseControl Exporter tool - which does not have capacity to be edited.

(2) User does not have the Administrator password.

(3) This ID is already used for a Lease or Agreement either **(a)** the Lease or Agreement has been archived **(b)** the name relates to a Lease, but want to use it for an Agreement or vice versa or **(c)** you are only making a minor change - e.g. removing / adding a space or changing from uppercase to lowercase - and LeaseControl has detected that you may be entering the details by accident or **(d)** this was a previous name for a Lease or Agreement.

<u>**Solution:**</u>

(1a) Click the "Edit Mode Off" button (bottom right of LeaseControl screen) so that it turns green and says "Edit Mode On".

(1b) Uninstall the browser licence and instead install an Administrator licence.* Please contact *[servicedesk.maxgeo.com](http://servicedesk.maxgeo.com)* for further assistance*.

(1c) Have the owner of the database (the party who originally provided you the backup) edit the Lease / Agreement name, and provide a fresh export to you.  You will then need to import this into your system.  Alternatively, you can discontinue receiving databases from this party and therefore migrate this data to an editable database.  You will then be able to rename the Lease / Agreement.  *For assistance with migrating data, please contact **[sales@maxgeo.com](mailto:sales@maxgeo.com)*

(2) You will need to either find a collegue with these details who can then rename the Lease / Agreement.  If no one knows the Administrator password, you can have it reset by contacting servicedesk.maxgeo.com.  *Please be advised that it is the users responsibility to comply with company protocol regarding password access as Maxwell GeoServices takes no responsibility for such compliance*.*  If your company requires access to be restricted, you may consider User permissions for running SQL scripts on this database.*

(3a) Ordinarily, you need to restore the archived Lease / Agreement and use that record (*for instruction, please refer to the HelpManual under "Lease Module" or "Agreement Module" then "Lease/Agreement Functionality" then "Archiving/Restoring/Deleting" then "Restoring"*).  Alternatively, you can propose an alternate ID for the archived Lease / Agreement and request assistance with adjusting these records by contacting [sales@maxgeo.com](mailto:sales@maxgeo.com).  We have protocols to protect the integrity of your data and protect against inadvertent (albeit well-intended) data corruptions.

(3b) Lease and Agreement records, collectively, need to be unique.  Therefore either the Lease or Agreement must be named differently.  This has been implemented to suit the myriad of licencing protocols that exist globally and the accomodate of alternate record keeping that results.  If you want to rename the existing (though perhaps archived) record, to free up the name for another record, please control [sales@maxgeo.com](mailto:sales@maxgeo.com).  We have protocols to protect the integrity of your data and protect against inadvertent (albeit well-intended) data corruptions.

(3c) Try putting an "X" or "Z" or something at the start such that it is a bigger change, then try renaming again as your preferred format.  Bear in mind you won't be able to change back to the original name without assistance, as LeaseControl retains a record to prevent against data issues.
